How to renew a tenancy

Renewing a tenancy allows users to complete the renewal of a tenancy, adjust rent, send out contracts and re-register the deposit. It is completed using the Change Tenancy function. Please note the logic behind this feature:

  1. This feature will work well with Xero and does not require any changes to the mapping
  2. Renewing a tenancy in the future will only result in changes on the tenancy summary page when the new contract starts. For example, a new contract rent will only display on the new start date 
  3. The new recurring charge input on stage two will not be created and visible until the first day of the new renewal period
  4. Once the renewal date is met, the existing start date and end date of the tenancy will be replaced. This information will be available in the tenancy history section
  5. The tenancy will be marked as 'renewed'
  6. Information surrounding the renewal will be added to the activity log
  7. You can create a new tenancy agreement to send for signature. Note, you need to create a renewal template and merge using the 'renewal date' field.


Step 1 Go to tenancy>menu>change tenancy

Step 3 Now go through the 4 steps of the change tenancy screen  On-screen one, enter in the new start dates, end dates, and any relevant break clause

  

On-screen two, if the rent is increasing or decreasing adjust this. If the deposit amount is changing, adjust this. This will then mailmerge using the new rent to the contract


Renew tenancy 

On-screen three, add in the relevant information for invoicing periods. This will schedule a new recurring charge against the tenancy that will create on the first day of the new tenancy period. It will not be visible in the recurring charges screen until that date.

On-screen four, add any relevant charges to the tenant(s) or property owner that are related to the renewal
